Who we are

This website is operated by Esplora Ltd, trading as Esplora Travel, a company registered in England and Wales (company number 06733585), with its registered office at 16 Cockcroft Place, Cambridge, CB3 0HF, UK.

For any question about this policy or about the personal data we hold, contact us at trips@esplora.co.uk or +44 (0)1223 328446.

The information we collect

When you make a booking or enquiry, we collect your name, email address, postal address, phone number, and date of birth where this is needed (for example, for insurance or age-related requirements), along with the same details for anyone else travelling in your party. Depending on the tour, we may also collect dietary requirements, accessibility needs, or relevant medical information — this counts as “special category data” under GDPR, and we only collect it with your explicit consent, and only use it to arrange your holiday safely.

When you sign up to our newsletter, we collect your name, email address, country of residence, and any travel preferences you share with us.

When you browse our website, our server and analytics tools automatically collect data such as your browser type, approximate location (inferred from your IP address, not your exact address), pages visited, and how you found the site. See the Cookies section below for detail.

When you contact our team directly (by phone, email, or contact form), we keep a record of that conversation and any details you share with us in it.

Who we share your information with

Because our tours involve local guides, hotels, and transport providers, we share relevant booking details with:

  • the suppliers delivering your holiday (guides, hotels, local operators) — some of these are located outside the UK, including in [Sicily/Italy, Turkey, Greece, Armenia, Georgia, Albania — confirm exact list of countries where supplier data transfers occur]
  • our payment processor, [name of payment provider], to process payments securely

We do not sell your personal data to third parties.

International transfers

Where we share your information with suppliers or service providers located outside the UK or European Economic Area, we take steps to ensure it’s protected to a standard consistent with UK data protection law — [confirm actual safeguard used, e.g. Standard Contractual Clauses, adequacy decisions, or supplier-specific agreements].

How long we keep your information

  • Booking and customer records: kept for [confirm exact period — commonly 6 years, to cover tax, accounting, and insurance claim time limits]
  • Newsletter and marketing data: kept until you unsubscribe or ask us to delete it
  • Website analytics data: kept according to the retention settings of the tools we use (see Cookies below)

Cookies and similar technologies

Our website uses cookies to make the site work, understand how it’s used, and (where you’ve consented) support marketing. These generally fall into three categories:

  • Essential cookies — needed for the site to function (e.g. remembering items in a booking form). These don’t require consent.
  • Analytics cookies — help us understand how visitors use the site, via Google Analytics (run through Google Tag Manager).
  • Marketing/advertising cookies — [confirm whether any ad platforms, e.g. Meta/Facebook, are actively used for retargeting]

You can accept or decline non-essential cookies via the cookie banner when you first visit the site, and change your preference at any time via [link to cookie settings tool, once one is added to the new site]. [Once you’ve run a technical cookie audit on the new site, replace this section with the specific cookie names, providers, and durations — this is a legal requirement, not just good practice.]

Your rights

Under UK GDPR, you have the right to:

  • ask us for a copy of the personal data we hold about you
  • ask us to correct inaccurate or incomplete data
  • ask us to delete your data, where there’s no legal reason for us to keep it
  • ask us to restrict how we use your data
  • receive your data in a portable format, or ask us to transfer it elsewhere
  • object to processing based on legitimate interest, including direct marketing
  • withdraw consent at any time, where we rely on consent (e.g. newsletter marketing, special category data, non-essential cookies)

To exercise any of these rights, email trips@esplora.co.uk. We’ll respond within one month.

If you’re unhappy with how we’ve handled your data, you also have the right to complain to the Information Commissioner’s Office (ICO), the UK’s data protection regulator, at ico.org.uk or 0303 123 1113.

Children’s privacy

Our services are not directed at children, and we don’t knowingly collect personal data from children except where a parent or guardian provides it as part of arranging a family booking.

Changes to this policy

We may update this policy from time to time, for example if data protection law changes or we start using a new tool or service. The date at the top shows when it was last revised — please check back periodically.
